It covers OTP account security, listing publication to major property portals, third-party suppliers such as professional photographers, data retention, cookies and analytics, cross-border disclosures, and the Australian Notifiable Data Breaches scheme. We are committed to protecting your privacy. This Policy explains how we collect, use, disclose and protect personal information when you visit our website, use our dashboards and tools, or purchase our services.
1. Scope and key definitions
Personal information means information or an opinion about an identified individual, or an individual who is reasonably identifiable, as defined in the Privacy Act 1988 (Cth).
Listing Content means the property text, photos, floorplans, videos and documents you supply for publication.
Portals means third-party property websites we publish to under your selected package, such as realestate.com.au, domain.com.au and other advertising sites.
Sensitive information includes details such as health information or criminal history. We only collect it with your consent and where reasonably necessary, for example in tenant screening you initiate.
2. How we collect information
We collect information in these ways:
- Directly from you: when you create an account, request a quote, purchase a package, submit Listing Content, contact support, complete forms, or participate in promotions.
- OTP authentication: we authenticate access using one-time passcodes sent to your nominated mobile number or device.
- Automatically: through cookies, pixels and similar technologies that record device identifiers, IP address, browser and app data, pages viewed, session timestamps, referral URLs and events.
- From third parties: payment gateways, identity and ownership verification services, address and title search providers, analytics and advertising partners, SMS and email providers, professional photographers and signage or courier suppliers, and the Portals we publish to.
- Rental workflows (if used): where you choose to collect tenancy applications or screening reports, we process the information provided by applicants and third-party checks you request.
3. What we collect
- Identity and contact: name, address, email, phone, property address, proof of authority to list.
- Account and security: mobile number for OTP, login timestamps, device and security logs.
- Transaction and billing: order history, selected packages and add-ons, payment confirmations from our gateway. We do not store full card numbers.
- Listing Content: property descriptions, media files and related documents you upload.
- Communications: enquiries, support tickets, call notes and correspondence with you.
- Usage and technical: analytics data and cookie identifiers, and approximate location derived from IP.
- Rental application data (optional): only where you use those features and with appropriate consent.
4. How we use information
- create and administer accounts, authenticate via OTP and secure access
- verify identity or ownership and meet compliance obligations with Portals
- publish, manage and promote listings on our site and Portals
- route buyer or tenant enquiries to you and facilitate communications
- provide support, training and status notifications

- conduct marketing with your consent or as permitted by law, and offer upgrades
- comply with laws, respond to lawful requests and enforce our Terms
5. Listings are public
When you submit Listing Content, you are asking us to publish it publicly. Once published, it may be re-published to Portals and partner sites, indexed by search engines and archived or cached by third parties, and shared via social media links or embeds. We cannot guarantee complete removal of Listing Content from third-party sites or search caches once published. If you include personal information in your Listing Content, it will become public. Some Portals restrict contact details in ads. Where that applies, we route enquiries to you.
6. Disclosing information
We do not sell personal information. We may disclose information to:
- Portals and real estate partners to publish and manage your listing
- Payment providers to take and reconcile payments
- Identity and ownership verification providers to confirm authority to list
- Professional photographers, signage, printers and couriers you order through us
- SMS and email service providers for OTP, alerts and support communications
- Analytics, testing and advertising partners for measurement and remarketing
- IT, hosting and security providers who help operate our platform
- Regulators, dispute bodies and law enforcement where required or permitted by law
- A purchaser of our business as part of a merger or acquisition, subject to confidentiality
Where we engage service providers, we take reasonable steps to ensure they protect personal information and use it only for our purposes.
7. Overseas disclosures
Our service providers and some Portals may host or process information in Australia and overseas, including the United States, the European Union, the United Kingdom and Singapore. Where we disclose personal information overseas, we take reasonable steps to ensure recipients comply with the Australian Privacy Principles or are otherwise subject to laws that offer comparable protection.
8. Cookies, analytics and ads

We keep personal information only for as long as needed for our purposes or as required by law. For example, transaction records may be kept for seven years for tax and audit, and security logs for a shorter operational period. We may retain de-identified or aggregated data for analytics.
14. Tenancy applications and sensitive information
If you use our rental workflows, you must only collect information that is reasonably necessary. Where sensitive information is involved, you must obtain the applicant’s consent and handle it lawfully. We process and disclose that information to you and any screening services you select. Do not store identity documents or sensitive information in public Listing Content.
15. Children
Our services are designed for adults. We do not knowingly collect personal information from children under 16.
16. Social media and external links
Our site and emails may contain links or share tools for external sites. Their privacy practices are not ours. Review their policies before providing information.
17. Business insights and de-identification
We may de-identify personal information for analytics, benchmarking and service improvement. De-identified information is not personal information under the Privacy Act.
18. Your responsibilities
Keep your device secure and do not share one-time passcodes. Ensure your Listing Content is accurate and compliant. Do not include personal information you do not want published.
19. Complaints

20. Changes to this Policy
We may update this Policy from time to time by publishing a new version on our website. The updated Policy applies from its effective date.
